Privacy Policy

Your therapy records are covered separately

This policy is about the website. If you become a client, the notes, assessments and billing records that come out of your care are protected health information under HIPAA and are governed by our Notice of Privacy Practices, which you receive when you start services. That is a stronger and more specific set of protections than this page, and nothing here reduces it.

One practical consequence worth stating plainly: we do not send anything about your care, your diagnosis, or what you told us to advertising companies. See the advertising section below for how we keep the website side of that clean too.

What you give us directly

We only collect what a form asks for. Nothing on this site requires an account.

• Contact form. Your name, email, phone number if you give one, the state you live in, how you prefer to be reached, and whatever you write in the message box.
• Waitlist and pre-booking forms. Your name, phone, email, state, whether you plan to use insurance and which carrier, whether you are seeking a specific assessment, what you would like to work on, and your scheduling preferences.
• Job applications. Your name, email, phone, the states you are licensed in, your credential status, and the résumé file you upload.

Please don’t send clinical detail through these forms beyond what you need to in order to be matched with the right clinician. They are ordinary web forms, not a patient portal.

What is collected automatically

Our hosting provider records standard server information — your IP address, browser type, and which pages were requested — which is used to keep the site running and secure.

If you accept advertising cookies, Google also receives information about your visit. That is covered in its own section below.

What we do with it

• Reply to you, and match you with a clinician.
• Keep a record of your enquiry so it does not get lost between the people who need to see it.
• Review job applications.
• Understand whether our advertising is reaching people who need us — but only in aggregate, and only if you agree to it.

We do not sell your information. We do not trade it. We do not use what you write in a contact form to target advertising at you.

Advertising cookies, and what Google is told

We run ads on Google so that people looking for this kind of care can find us. To know whether that is working, Google needs to be able to tell that someone who clicked an ad later contacted us.

Nothing is set until you say yes. When you first arrive, advertising storage is switched off. If you decline, or simply ignore the banner, it stays off and the site works exactly the same.

There is one thing we do deliberately even when you accept. Ordinarily a tag like this reports the address of every page you look at. On this site, pages about a particular concern — our specialty pages and blog posts — are reported to Google in a generic form, without the topic in the address or the page title. Google can see that our advertising brought someone to the site; it is not told which condition that person was reading about.

Who else handles your information

We use a small number of outside services to run the practice. They only receive what they need to do their job.

• Google Firebase — stores form submissions and uploaded résumés, and hosts the site.
• SendGrid — delivers the notification emails that tell our staff a form has come in.
• Google Ads — advertising measurement, only with your consent, and limited as described above.
• Tebra — when you go to book an appointment, our site hands you off to our scheduling provider. Once you are there you are on their system, under their privacy policy, not this one.

We may also disclose information where the law requires it, or where a clinician has a legal duty to act to protect someone from harm.

How long we keep it

Enquiries and waitlist entries are kept while they are still useful for reaching you and for our own records of who asked for care, and are archived once they are resolved. Job applications are kept for our hiring records. If you become a client, your clinical record is retained for the period required by the law of the state you are treated in, which is generally longer than anything described here.

You can ask us to delete a website enquiry at any time.

Security

The site is served over an encrypted connection. Form submissions are stored in access-controlled databases, and the staff console that displays them requires a specifically authorised account. No system is perfect, and we would rather say that than imply otherwise.

Your choices

• Turn advertising cookies on or off, above, at any time.
• Ask what we hold about you from this website, and ask for a copy.
• Ask us to correct it, or to delete it.

If you live in California, you have the right to know what personal information is collected, to have it deleted, to correct it, and to opt out of its being shared for cross-context behavioural advertising. The cookie control on this page is how you exercise that last one here. Washington residents have additional rights over health-related data under the My Health My Data Act. We will not treat you differently for exercising any of these.

Children

This website is intended for adults. We do treat children and teenagers, but the forms here are meant to be completed by a parent or guardian. We do not knowingly collect information online directly from a child.

Changes

If this policy changes we will update the date at the top of the page. If a change materially affects what happens to information we already hold, we will say so more visibly than that.
